A Workplace is a virtual boundary for each organisation. You can configure your org specific settings like company logo, user access and permissions, notification policies, etc. Here are the steps to create a Workplace.
If you want to understand what a Workplace is, how it works, and how you can manage apps, users, branding, and settings within it, refer to What Is a Clappia Workplace?.
Visit Clappia and sign up using your email address or phone number. Follow the instructions to complete your registration.
If you already have a Clappia account and want to create another Workplace, refer to How to Create an Additional Workplace.
During registration, you will be asked to choose a subdomain for your Workplace. This becomes part of the URL you use to access your Workplace.
For example, if you choose acme as your subdomain, your Workplace URL will be:
https://acme.clappia.com
Choose a name that is relevant to your organisation and easy for your users to recognise. The subdomain must be available when you register it.
Once your Workplace has been created, you will be redirected to its dashboard. This is the main screen where you can access your apps and navigate to other parts of Clappia.
If your Workplace registration takes longer than expected, check your email for the Workplace details and instructions to access it.
After accessing your Workplace, you can start setting it up for your organisation, create apps for your business processes, and configure the settings you need.
Creating a Workplace is the first step. You can then configure it for your organisation, add users, assign roles, and manage access to your apps.
When you create a Workplace, you are automatically assigned the Workplace Manager role.
The Workplace Manager is responsible for managing the Workplace and has access to Workplace Settings, including user management, app management, and billing.
As the Workplace Manager, you can add other users, assign them appropriate roles, and configure settings for your organization. You can also assign another user the Workplace Manager role when they need to share these responsibilities.
Clappia provides different Workplace roles depending on what users need to do:
These roles help you control who can manage the Workplace, who can build apps, and who can use the apps assigned to them.
To learn how to invite users and assign their Workplace roles, refer to Add Users to Your Clappia Workplace.
You can add colleagues and other people who need access to your organisation's Clappia environment.
Once users are added, you can assign them access to the apps they need. For example, employees may need access to a leave request app, while members of the finance team may need access to an expense management app.
Adding someone to your Workplace does not automatically give them access to every app in it. You must assign app access separately and configure the appropriate permissions.
This allows you to manage multiple business processes within the same Workplace while controlling which users can access each app and what they can do within it.
You can also remove users from the Workplace when they no longer need access.
To learn how to add users and assign app permissions, refer to these guides:
You can customise your Workplace to match your company's branding and configure settings according to your organization's requirements.
Through Workplace Settings, you can configure options such as:
These settings help you configure the Workplace environment for your organisation. Some settings apply across the Workplace and its apps, while others control specific aspects of how users interact with Clappia.
To learn how to configure these options, refer to Workplace Settings.
If you need a more fully branded experience, Clappia also provides white-labelling and custom domain options.
These options go beyond setting your Workplace logo and theme and allow you to configure a more customised experience for your organisation. They may involve additional charges.
For more information, refer to White-Labelled Apps and Custom Domains.
You are not limited to a single Workplace. You can create additional Workplaces from your existing Clappia account and be part of multiple Workplaces.
Each Workplace has its own environment, apps, users, and settings. This can be useful when you need separate Workplaces for different organisations or distinct operational requirements.
You do not need to create a separate Workplace for every business process. Multiple apps for different processes can exist within the same Workplace. Create additional Workplaces when you need separate Workplace environments.
To learn how to create another Workplace after signing in to Clappia, refer to How to Create an Additional Workplace.
If you no longer need a Workplace, you can submit a request to delete it through Workplace Settings.
Before requesting deletion, make sure you have backed up any important information, including app submissions and files you may need later.
A Workplace deletion request starts a 30-day deletion period. During this period, the Workplace can still be restored if required. If it is not restored within that period, the deletion process proceeds automatically, and the associated data is permanently deleted.
This includes the Workplace's apps, submissions, submission history, uploaded files, logs, and other associated data. Users assigned to apps within the Workplace will also lose access.
Review the consequences carefully before submitting a deletion request.
For the complete instructions and important information about the deletion process, refer to Delete Workplace.
