Workflows: WhatsApp node

This article explains the functioning of WhatsApp nodes that can be configured as a part of workflows.

Working

Automating the process of sending a WhatsApp message based on the user action in the app.

Note: This Workflow sends WhatsApp messages from Clappia's WhatsApp Business Number. If you wish to send these messages from your own WhatsApp Business account, you can configure it in your Workplace Details. Learn more about the setup here.

Use Cases

Based on the actions in the app, users will be able to receive WhatsApp messages for:

  • Confirmation
  • Reminder
  • Notification

‍Step Name

This is the name of the workflow that appears on the left side.

To WhatsApp Number

Enter the variable associated with the Phone Number block in the app or manually enter the phone number with the country code as: “country code phone number”

Example: +91 9876543210

‍Note: Only one number is accepted per WhatsApp node. To send messages to more numbers, you will need to add multiple WhatsApp nodes.

Select Template

Select a template message consisting of variables from the list of templates. These variables can be configured with the variable names of the data blocks from the app.

Request New Template

Request New Template

You can request for a new template if there isn’t one that fits your requirement from the list. Only relevant templates will be approved and uploaded to the list for use.

Click on Select template’s dropdown and click on Request New Template. You will get a form where you need to fill your particulars.

Currently in the free and starter plans, only the available templates can be used. If you require a new template you must be in the Professional plan. Click here to visit our pricing page.

Parent Step

Parent step refers to the function which is just above the WhatsApp node. Here, it is the Start function.

Important Notes

  • Before submitting a template, Refer to WhatsApp's Template guideline on dos and don'ts: https://developers.facebook.com/docs/whatsapp/message-templates/guidelines/
  • There is a limit to the usage of WhatsApp messages - 20 WhatsApp messages per workplace per month for the free and Starter plans, and 100 WhatsApp messages per workplace per month for the Professional plan.(If you want to extend the limit of WhatsApp messages, you can visit the billings tab in your workplace).
  • Log in to your Clappia dashboard, on the left panel go to Workplace Settings > Billings. Select your plan, on the right panel, click on ‘add an add on’, select WhatsApp from the list and proceed. You will get an additional 1000 WhatsApp messages per month.

There is a limit to the usage of WhatsApp messages - 20 WhatsApp messages per workplace per month for the free and Starter plans, and 100 WhatsApp messages per workplace per month for the Professional plan.(If you want to extend the limit of WhatsApp messages, write to us at contact@clappia.com)

Note on Workflows and Bulk Operations

Workflows in Clappia run on individual submissions, such as when a user submits or manually edits a record. However, when using Bulk Upload or Bulk Edit from the Submissions tab, workflows are not triggered, even though new submissions may be added or existing ones updated.

This is because workflows are designed to process one submission at a time. Triggering them for bulk operations can lead to incomplete or inconsistent results, especially for complex workflows.

If you need workflows to run after a bulk operation, currently you will need to open each submission manually and save it. This will count as an edit and trigger the workflow normally.
